Formal Details


Formal dinners give you the chance to dress up, embrace Mary’s traditions and enjoy a three course meal with friends. They take place approximately four times a term, on Tuesday or Thursday evenings. The meal is served in the Dining Hall, and everyone has to dress smartly and wear their gowns for the duration. There are special formals throughout the year including two Christmas Formals, a Burns’ Night Formal and President’s Guest Night, when certain people are awarded Colours Awards for their contribution to the JCR.

Formals, in keeping with tradition, are governed by certain guidelines, customs and rules set out to ensure all College members enjoy the occasion. The following page outlines the expected procedure and behaviour.

Sign up system

Formal sign up takes place through an online system called Eventbrite. The relevant link will be included in a JCR email and advertised on Facebook. It will then go live at an advertised time. Formal sign up is on a first-come-first-served basis.

Guests from outside of Mary’s are welcome to attend any Mary’s formal. They are signed up by entering your name +1. Both your name and +1 must be signed up separately (e.g. Luke Wagner and Luke Wagner +1 must both appear on sign up). The name of the plus one must also be entered in the relevant box on the Eventbrite website. Failure to include a name along with the plus one will result in the plus one being removed. This is to stop people signing up blank places and then giving them to their friends. This will be made clear prior to sign up and on the Eventbrite website. Attendees are limited to one guest per person. The first guest will be placed in the original guest list along with all other students. If you wish to bring more than one guest, you are able to sign them up (as Luke Wagner +2, +3 etc.), but they will be placed in a separate list, ordered by timestamp. Any spare places, once the original guest list has been exhausted, will then be allocated to this list. This is in the interest of fairness, to allow as many Mary’s students as possible spaces on formals. Guests must be on the same table plan as their host.

Table plans are to be sent in to the Social Chairs and the deadline for this will be sent out by email beforehand. Table plans must be sent in multiples of 8, and there is no guarantee that table plans will not sometimes be split.

Cost and payment

Formals cost £7 for students living in college and £9 for those living out. The price may differ slightly with special formals. For guests, the price for a standard formal is £11.

Payment can be given by BACS using bank details sent by email. Alternatively, payment can be made in cash or cheque (written out to ‘DU St Marys JCR’) that must be given to the JCR President. Please bear in mind that BACS is the preferred method of payment. There will always be a reference that you must put with your payment. It is vital that you do this so that it is clear which payments are for formal when looking at the JCR transfers. Importantly, payment must not be given until confirmation of place is received.

The Meal

You should arrive at 6.30pm for the 7pm start, and following tradition, the students stand when the Principal, Vice Principal and members of the SCR enter the hall. The college grace is then said in Latin by the JCR President, at which point everyone may sit down. When the final grace has been said and the majority of the SCR have left everyone can get up from their seats and leave if they wish.

It is expected that you remain seated in order to respect the nature of the formal event. However, if you really need the toilet, you must leave the hall only between courses and you must exit and return alone, as discreetly and quietly as possible.


Wine can be purchased for £7 per bottle at the Conference Bar which will open half an hour before the formal starts and close at the start of the meal. The Conference Bar only sells wine and soft drinks at formals. If you wish to bring your own wine to the formal corkage of £3.50 per bottle must be paid on entrance.


Gowns must be worn to all formals and remain on for the duration of the meal. Men should wear lounge suits and ties (not dinner jackets/tuxedos or bow-ties) and women appropriate dresses (smart cocktail dress is usual). In some instances, special events are classed as black tie or fancy-dress and they are clearly advertised as such in advance.

Conduct at Formals

In order to ensure the enjoyment of all those attending formals, it is expected that everyone will respect the formal nature of the event by remaining seated and by keeping noise to an acceptable level during the meal. It is the role of the JCR Vice President and the Vice Principal to maintain discipline at formal dinners. Anyone who does not respect formal rules may be asked to leave and could be banned from attending future formal dinners.
